HowTo / Editor workflow

This page describes the usual workflow for a SHS editor who wants to add a new song to the database.

Gathering information

Avoiding duplicates

Before creating any new object, verify whether they aren't in the database already:

  • Artists
    • Trick for an easy check: Insert the IPI code of the artist in the main search
  • Works
    • If the work is already listed, have a look at the adaptation tree to make sure you attribute the new performance to the right root work or adaptation.
  • Performances
  • Labels
    • First easy check: Insert the URL of the Discogs label in the main search
    • Second Check: Search for alternative spellings. E.g. with or without "Records", with or without spaces

      Example: If you want to create "Tall Girl Records", first whether "Tall Girl" or "Tallgirl" exist, and if they are the same label.

Cover check

  • Search for the correct spelling of the title
  • Search if there are additional credits for the song (new language, etc.)
  • Search for the medium the cover song was first released on (medium title, release date, label, catalog number)
  • Search the language of the song

Original check (if the original still has to be added)

  • Search extensively for the first version of the song
  • Search extensively for the author(s) of the song. Try to find out who wrote what (music, lyrics), who gets real credit for writing (or "fake" credits for samples used), etc. This information is very important!

Database check (again)

  • Search the database again to avoid creating duplicates.
  • Search for the songwriters, artists, medium titles, labels, catalog numbers and compare this to your information.

Entering information

Add original (if not in the database already)

  • If the original is released on a medium, add the medium first.
  • Add the original song.

Add cover

  • Add the cover medium first.
  • Add the cover song.

Doublecheck your addition

  • Take a look at what you just added and correct typo's or mistakes.
